Quotes are available to businesses on the Pro plan. Pro users that are set as a supplier will see 5 tabs.
- Sales - Sales Orders your customers have placed with you. You can read more about Managing Sales Orders here.
- Purchases - Purchase Orders you have placed with suppliers in Supply'd. You can read more about managing Purchase Orders here.
- Quotes - Order Quotes that have been prepared for customers.
- Standing - Standing Orders which are repeating orders for consistent order schedules. You can read more about creating and managing Standing Orders here.
- Postponed - Postponed Orders for completion at a later date.
This article will talk through creating and managing "Quotes" which are quotes prepared for a customers in Supply'd.
Creating Quotes
The "Quotes" tab contains a list of all the order quotes you have created.
Select "Orders" from the main menu, then click on the "Quotes" tab on the "Orders" page.
To create a new quote, click on the "Add +" button on the top right-hand corner.
You can also create a quote by going to "Customers" from the main menu, then select a customer, click on the 3 dots in the top right-hand corner and select "Add Quote". The customer name will automatically be entered into the "Customer" field on the form.
To start creating the Quote you must first select the customer the quote is for. The customer must first exist within your Supply'd account in order to create a quote. (See the How to Add Customers and Customer Groups article if you need to add them.)
Once added, the "Quote Expiry*" will be pre-populated, you can update this to any future date you would like. The "Quote Number" will be automatically generated. Once the "Customer" field is filled, the fields for adding the products will show.
Note: at this stage the "Customer" field can not be changed. If you wish to change the customer then you will need to create a new quote.
Select the products and the desired quantities. Products will be added with the price set based on your customer specific pricing.
Once products and amounts are selected, optionally clicking the 3 dots beside an item you will have the following options:
- Edit Price:
- Supply'd Price - Automatically generated from your product list.
- Customer Price - Same as the "Supply'd Price" unless special pricing or discounts have been applied at the customer level. See How to Apply Customer Specific Pricing for more information.
- Discount % - Optionally set a discount percentage. This will apply from the "Customer Price" if different to the "Supply'd Price".
- Discount $ - Optionally set a discount dollar amount. This will apply from the "Customer Price" if different to the "Supply'd Price".
- Item Price ex Tax - Price of the item before GST is applied. You also can set a new price for the item. The "Item Price Inc Tax" will automatically adjust.
- Item Price Inc Tax - Price of the item after GST is applied. You can also set a new price for the item here. The "Item Price Ex Tax" will automatically adjust.
- Tax % - The percentage of tax that applies for this item.
- Tax Type - The type of tax that applies to this item, eg. GST.
- Supply'd Price - Automatically generated from your product list.
Click "SAVE" to apply the new price.
- Edit Meta Data - Meta data allows you to store additional data against an order item as a key and value pair. For example, if you wanted to specify information such as specific colours, specs, flavours etc. you can use Meta Data for this.
Clicking "Add Meta Field" allows you to enter this data. Multiple Meta Fields can be added.
- Meta Key - A key for this meta data. Each key should be unique within a specific order item.
- Meta Value - The value to pair with this key.
- Meta Key - A key for this meta data. Each key should be unique within a specific order item.
For example, you are quoting on a five pack of chocolate bonbons.
Flavours can be added via the "Add Meta Field" as:
- Meta Key: 1st Flavour
- Meta Value: Raspberry
- Meta Key - 2nd Flavour
- Meta Value - Caramel
and so on.
This will show on the quote as pictured.
Click the "SAVE" to save the data.
- Remove Item - Will remove the item from the quote. You will be asked to confirm that you want to remove the item.
Repeat with remaining items, as required.
Select the desired "Shipping".
Clicking the three dots on the top right-hand corner of the quote gives you the following options:
- Save Quote - To save the quote.
- Show Price Inc Tax - Shows the pricing including tax.
- Remove - Remove the quote.
If you would like to continue editing the quote at a later stage, it will be saved as "DRAFT". Once the quote is complete, either select "Save Quote" from the menu above or click "PLACE ORDER". "DRAFT" will change to "QUOTE" both on the list and the quote.
Note: Although you are clicking "PLACE ORDER" the order will not be placed at this time but instead saved as a quote.
Managing Quotes
The "Quotes" tab contains a list of all the order quotes you have created.
To manage a quote, select "Orders" from the main menu, click on the "Quotes" tab on the "Orders" page and click on the quote you would like to manage.
Clicking on the 3 dots in the top right-hand corner will show a menu for all actions available on a quote:
- Email Quote - Email the quote to the customer. You can include any message you would like to include to the recipient. The quote will be attached to the sent email. Click "SEND QUOTE" to email the quote to the customer.

- Quote - Download and thus print the quote.
- Quote - Download and thus print the quote.
- Modify Quote - Opens the quote for editing. Follow the steps above to edit.
- Convert to Order - Once a customer approves a quote, it can be converted to an order. Once the quote becomes an order it will no longer appear in your quotes.
- View >
- Show Prices Inc Tax - Shows the prices on the quote with any included tax. Menu will change to "Show Prices Ex Tax".
- Remove - Remove the quote. You will be asked to confirm.
Quote statuses will appear on the "Quotes" list in various colours for easy identification.
- QUOTE - The quote has been prepared.
- QUOTED - The quote has been prepared and sent to the customer.
- DRAFT - The quote is being prepared but not yet completed.
- MODIFYING - The quote is being modified.
Quotes with a red dot beside them are quotes that have passed the expiry date.
